Software and AI / less manual work

Business process automation without building a giant ERP

We organise processes based on spreadsheets, email and messaging. We design focused systems, integrations, panels and controlled AI modules for companies.

The best automation removes copying, waiting and guessing — not the person from the process.

Many companies do not need a complete ERP. They need one place for requests, statuses, documents, ownership and next steps. The problem becomes visible when the same data is copied between a form, mailbox, spreadsheet and messaging app.

We start with one flow where the loss is easy to observe: lead handling, proposal preparation, document approval, booking, work orders or reporting. We then decide whether an integration, focused panel, custom system or supervised AI module is the right level.

Where value leaks

Signals that the process has outgrown the current tools

The first useful scope comes from the real bottleneck, not from a prebuilt package.

01

The same data is entered several times

A form, email, spreadsheet and accounting system hold similar information, but nothing moves it automatically.

02

Only one person knows the status

The team asks in chat because there is no shared view, owner or decision history.

03

Follow-up depends on memory

A missing response, approval or payment does not create a task or trigger a controlled reminder.

04

Documents are searched manually

Knowledge exists, but staff must open files, copy fragments and check freshness without a source reference.

Implementation scope

Solutions from integration to a focused system

Technology follows the process. We do not begin with an AI label when a rule, webhook or better form can solve the problem more reliably.

Process and responsibility map

Steps, roles, inputs, decisions, exceptions, data and the point where the largest loss occurs.

API and webhook integrations

A controlled data flow between forms, CRM, email, payments, calendars or another system.

Operations panel

Statuses, queues, assignment, history, filters and team actions in one view.

Documents and approvals

Generation, versioning, approval, reminders and an audit trail matched to the process.

Knowledge assistant

Search across approved sources with citations, permissions and a route to hand the case to a person.

Reporting and alerts

Visibility into bottlenecks, service time, exceptions and situations requiring intervention.

Delivery

A small and controlled first step

Each stage has a decision, an output and a clear reason to move forward.

01

Process observation

We follow one real case from start to finish and record manual steps, exceptions and decisions.

02

Pilot design

We define the scope for a small user group, success measure, data and a safe rollback path.

03

Observable implementation

We build the integration or panel with action history, permissions and a manual fallback.

04

Review and scale

After real use, we compare time, errors and exceptions before extending the process.

Expected outcomes

Metrics to define before the project

time required for one case to pass through the process
number of manual data transfers and corrections
number of cases without an owner or next step
share of exceptions requiring a human decision
Evidence

Capability demonstrated through working products

The projects below do not prove a universal return on investment. They do demonstrate real flows, roles, statuses and data that SiteSpark can design and implement.

FAQ

Questions before the first scope

Clear answers before technology, timing and budget are committed.

Which process should we automate first?

Choose a frequent, repeatable and measurable process with a clear owner. A good pilot should not cover the entire company or begin with the most critical operation.

Do we need to replace our current tools?

Not always. A form, CRM, calendar, mailbox and payments can often be connected through APIs or webhooks. A custom panel is useful when the team needs a shared view or current software cannot represent the workflow.

Does every automation need AI?

No. Rules, integrations and validation are cheaper and more predictable. We add AI for text, documents and ambiguous data, with defined sources, quality controls and a fallback.

How much does a first pilot cost?

The cost depends on steps, integrations, roles and data responsibility. We can begin with a paid process sprint that produces a map, MVP scope, risks and budget before development.

What happens when an integration or AI component fails?

We design an error state, log, alert and manual path to complete the case. Automation without observability and a safe fallback should not control an important process.
Next step

Show us one process currently held together by memory and copying

We will map the steps, data, exceptions and responsibilities before recommending an integration, panel, custom system or controlled AI module.
